We’re happy to announce that Admins and Managers can now quickly and easily record carer’s leave in RotaCloud using the new ‘Carer’s Leave’ leave type.

Previously, managers had to record carer’s leave as ‘Other Leave’ on their rotas. But, now, this update allows you to mark carer’s leave as such, making it much easier to keep track of.

Carer’s Leave will appear alongside other leave types such as ‘Parental’ and ‘Compassionate’ leave in your RotaCloud account. It’s set to ‘Unpaid’ by default, but this can easily be changed via your account’s settings.

It’s been a month since we launched our new Rota Builder beta (thank you to all who have tried it!). We’ve listened to your feedback and are excited to share its latest updates!

In addition to some fine tuning from your suggestions, we’ve added some more improvements to some existing features - all to expand on our Rota Builder’s look and functionality.

Now, you can find updates to…

Shift acknowledgement

• Easily enable or disable the shift acknowledgement tool in your settings.
• Use Sort & Filter to choose how to view the shift acknowledgement icons - under your employees’ names or on the shifts themselves.
• View all shifts acknowledged and pending at a glance rather than hovering over each name and shift.
• Staff who haven’t yet acknowledged shifts receive a pop-up reminder when opening their app.

Temporary cover

• Filter locations to find specific employees.
• Only employees able to fill the role will be listed - no more scouring through lists of wait staff and kitchen porters to find bar staff.
• The staff member covering only shows for the time relevant - no need to add then remove them from the intended location.
• Admins can choose permissions for managers on the locations they can and can’t receive cover from.

Share links

• Existing share links can be deleted, meaning anyone with it can no longer access the rota.

Introducing the new Rota Builder beta!

We’re constantly working behind the scenes to improve and add new features to the shift planning software you use everyday - so we’re delighted to announce our latest update!

Other than a new look and improved interface, you can now…

• Manage and edit your rotas with our new month view.
• Access and edit leave, dates, and locations straight from the rota, without needing to leave the page.
• Customise and improve the functionality of your rotas by filtering specific tools and features.

Starting from the 30th April, our new Rota Builder is available for you to use at the switch of a button. Try out the new month view, filtering options to fully customise your shift view, and leave us feedback or suggestions through our live chat.

That’s the beauty of beta - we want to make sure our new Rota Builder is everything you want it to be.

We're delighted to let you know that Time Off in Lieu (TOIL) is no longer in beta, and is now fully released on both the web and mobile editions of RotaCloud!

Accrued TOIL and TOIL Leave can now be added by Admins and Managers, and TOIL Leave can be requested by employees.

Furthermore, each employee has the ability to view a summary of their TOIL balance.

You can enable this feature in your account's Settings page. For more information on how TOIL works in RotaCloud, please refer to our Help Articles here.

It's important to be able to maintain all of the information about an employee in one place, and this can sometimes include their Right to Work status, and occasionally an expiry date.

We've introduced a simple solution to logging employees' Right to Work status. In an employee profile, you can now use a checkbox to log that an employee's Right to Work status has been confirmed. Once confirmed, you can also log the expiry date if it has one.

It's completely optional, and is included in all your Employee Export if you ever need to review all employees' statuses and expiry dates.

When used alongside RotaCloud Pro's Document Storage feature, it's the perfect way to keep track of employee's eligibility to work.

If your employees have an hourly holiday balance, then keeping track of the hours spent for each holiday can be time-consuming. Instead of sifting through reports to find the correct figures, it's beneficial to collaborate with employees who are most familiar with their schedules while maintaining control over the final figures by using employee input as a suggestion.

To enable this feature, go to your settings page and activate the 'Allow employees to suggest hours when submitting leave requests' option. Employees with hourly allowances can now include daily or total hours in their leave requests. You can review and edit these hours before approving the request.

Once this feature is enabled, employees can include hours in their requests both on desktop and in the latest version of the RotaCloud app.

You can update to the latest version of the app by heading to the Google Play Store or Apple App Store.

Being short staffed can be a strain on you and your employees, especially when it’s a result of too many people being away on leave. Adding leave or approving leave requests can be tricky when you’re not sure who else is away, and whether you have the right staff that you need for your business.

RotaCloud can now show you instantly who else is on leave, whether you’re adding Leave to the system directly or responding to an employee’s holiday request, to help you process leave more quickly by letting you see the information you need, when you need it.

The ‘Who’s on leave’ list is now available on the web, and in the latest version of the RotaCloud app. You can update to the latest version of the app by heading to the Google Play Store or Apple App Store, and learn more about managing leave in our Help Article.

If your business has a Time Off in Lieu (TOIL) policy, then you can benefit from having extra staffing when you need it, and your staff can benefit from having a more flexible schedule.

It's essential to have tools that provide clear visibility into the accrual and usage of TOIL. With these tools, you and your team can enjoy a flexible but structured work arrangement, while keeping all the necessary information in one place.

We're excited to introduce a highly-anticipated and frequently requested feature that is now in beta in RotaCloud: the ability to manage your employees' accrued TOIL balances separately from their holiday allowances. TOIL Leave can now be added by Admins and Managers or requested by employees, and everyone will have access to a TOIL summary to easily track their own TOIL balances.

It’s important for adding Leave to be a quick, easy process that isn’t intrusive, where you can see the info you need at the point that you need it.

We’ve made some big changes to the process of adding leave, making it quicker and more informative than ever before. The Add Leave window now opens right there in the Leave page, allowing you to add leave or respond to a request without moving away to another page.

Holiday & TOIL allowances are now shown for the relevant employee so you don’t need to go anywhere to check if someone has enough leave left for the current year.

In addition to this, it’s now quicker to add the most common types of leave, and easier than ever to add leave to multiple employees, and you can now search for specific employees by typing.

The new calendar makes it easier to add Leave into the past and future with fewer clicks, and we’re pleased to say that all of these improvements are available for employees and managers, in addition to administrators.
