Our new Rota Builder has now been live for two months (thanks to everyone who’s tried it so far!). In our second batch of updates, we’ve added some new features and expanded on some existing ones!

Days off

With updates to our days-off feature, they can now be quickly added using our keyboard shortcut. Simply hold down your ‘D’ key and click where you’d like your non-working day. (A new Rota Builder exclusive) Learn more.

Add shifts

You can now also easily copy shifts from the previous week in just a few clicks. Find this under the copy menu at the top of the Rotas page. Learn more.

Cleaner look, better experience

In response to your feedback, we’ve neatened up the look and feel of the new rota builder making it more intuitive.

We’re happy to announce that Admins and Managers can now quickly and easily record carer’s leave in RotaCloud using the new ‘Carer’s Leave’ leave type.

Previously, managers had to record carer’s leave as ‘Other Leave’ on their rotas. But, now, this update allows you to mark carer’s leave as such, making it much easier to keep track of.

Carer’s Leave will appear alongside other leave types such as ‘Parental’ and ‘Compassionate’ leave in your RotaCloud account. It’s set to ‘Unpaid’ by default, but this can easily be changed via your account’s settings.

It’s been a month since we launched our new Rota Builder beta (thank you to all who have tried it!). We’ve listened to your feedback and are excited to share its latest updates!

In addition to some fine tuning from your suggestions, we’ve added some more improvements to some existing features - all to expand on our Rota Builder’s look and functionality.

Now, you can find updates to…

Shift acknowledgement

• Easily enable or disable the shift acknowledgement tool in your settings.
• Use Sort & Filter to choose how to view the shift acknowledgement icons - under your employees’ names or on the shifts themselves.
• View all shifts acknowledged and pending at a glance rather than hovering over each name and shift.
• Staff who haven’t yet acknowledged shifts receive a pop-up reminder when opening their app.

Temporary cover

• Filter locations to find specific employees.
• Only employees able to fill the role will be listed - no more scouring through lists of wait staff and kitchen porters to find bar staff.
• The staff member covering only shows for the time relevant - no need to add then remove them from the intended location.
• Admins can choose permissions for managers on the locations they can and can’t receive cover from.

Share links

• Existing share links can be deleted, meaning anyone with it can no longer access the rota.

We’re constantly working behind the scenes to improve and add new features to the shift planning software you use everyday - so we’re delighted to announce our latest update!

Other than a new look and improved interface, you can now…

• Manage and edit your rotas with our new month view.
• Access and edit leave, dates, and locations straight from the rota, without needing to leave the page.
• Customise and improve the functionality of your rotas by filtering specific tools and features.

Starting from the 30th April, our new Rota Builder is available for you to use at the switch of a button. Try out the new month view, filtering options to fully customise your shift view, and leave us feedback or suggestions through our live chat.

That’s the beauty of beta - we want to make sure our new Rota Builder is everything you want it to be.

We're delighted to let you know that Time Off in Lieu (TOIL) is no longer in beta, and is now fully released on both the web and mobile editions of RotaCloud!

Accrued TOIL and TOIL Leave can now be added by Admins and Managers, and TOIL Leave can be requested by employees.

Furthermore, each employee has the ability to view a summary of their TOIL balance.

You can enable this feature in your account's Settings page. For more information on how TOIL works in RotaCloud, please refer to our Help Articles here.

It's important to be able to maintain all of the information about an employee in one place, and this can sometimes include their Right to Work status, and occasionally an expiry date.

We've introduced a simple solution to logging employees' Right to Work status. In an employee profile, you can now use a checkbox to log that an employee's Right to Work status has been confirmed. Once confirmed, you can also log the expiry date if it has one.

It's completely optional, and is included in all your Employee Export if you ever need to review all employees' statuses and expiry dates.

When used alongside RotaCloud Pro's Document Storage feature, it's the perfect way to keep track of employee's eligibility to work.
